Setting Up Time off Categories (Annual, Sick, Maternity, etc.)
KaziQuest gives you the flexibility to define multiple leave types that reflect your company’s policies. Whether it’s annual leave, sick days, maternity leave, or custom options like study or compassionate leave, you can tailor leave categories to fit your organization’s needs.
Step 1: Access Time off Settings

Log in as an Admin or HR Manager.

Navigate to the Settings section.

Click on Time Off > Manage Leave Categories.
➕ Step 2: Add a New Custom Category
Click “Add Custom Category” and fill in the following fields:

Field-by-Field Guide
Field | Description |
---|---|
Name | Enter a clear, recognizable name (e.g., “Annual Leave”, “Sick Leave”). |
Description | Provide a brief explanation of what this leave is for. |
Eligibility Criteria | Specify who qualifies (e.g., “After 3 months of service”, “Contract staff only”). |
Total Entitled Days | The number of days an employee is granted per year. |
Max Negative Days | The maximum number of leave days an employee can take beyond their balance (e.g., -10 days for emergency use). |
Gender Sensitive | Toggle ON if the leave type is only available to a specific gender (e.g., maternity leave). |
Carry Over Policy | Toggle ON if unused days should carry over to the next year. |
Leave Calculation Method | Choose how the leave is calculated — e.g., Working Days or Calender Days |
Statutory | Toggle ON if this leave is required by law (useful for compliance reports). |
Applicable To | Choose whether this leave applies to All Employees or a filtered by employee name. |
Accrual Frequency | Select how leave accumulates: Yearly, Monthly, or Weekly. |
Leave Year Starts On | Choose whether the leave resets based on the Leave Year Start (e.g., Jan 1) or each employee’s Contract Start Date. |
